Staging and decorating

The presentation or ‘look’ of an event venue can be an important element of successful event management.

Staging

Do a thorough check of your venue before planning how you are going to set it up. Take note of the location of light switches, power points, fire detectors, lifts, exits, disability access, existing signage, restrooms, car parks, and ease of access to the venue. If you need large deliveries for your event set up, make sure you know where the loading docks are, or how suppliers can get access to the venue if loading docks don’t exist. Note whether there are height or width restrictions for equipment access.

Familiarise yourself with the capacity and scaling of the room in relation to your set up requirements. Ensure walkways and fire exits are clear.

Ensure that you are comfortable with the operation of any air conditioning / heating units, in case the temperature needs adjusting during your event.

Decorating

Depending on your audience and budget, you may wish to include the following:

  1. Macquarie University red tablecloths
  2. Pull-up Macquarie University banners
  3. Macquarie University lectern banners
  4. Small table with water jugs and glasses for speakers
  5. Table bowls of mints or lollies in a table seating seminar or meeting format
  6. Flower arrangements, particularly at dinners
  7. Signage – laminated if outdoors.
