Events Manual
Scheduling
In setting dates, times and formats for your event, consider the following issues:
- That your event does not overlap with another important University event or holidays that will affect attendance and parking
- That no similar event takes place in the week before or after yours
- Whether you need to firstly contact the Protocol Officer in the Marketing Unit because you want to have the Vice-Chancellor or Chancellor attend/host your event
- The availability of guest speakers and University executive officers (ie Deputy Vice-Chancellors, Deans etc)
- Whether budgetary implications will affect when you can hold your event – out-of-hours building hire/security costs, staff overtime etc.
- The availability of the venue that you want
- That most speakers run over time.
