Event protocol guidelines

Events with the Vice-Chancellor or Chancellor
Events with VIP guests
Events likely to attract significant media/public interest, generate controversy or likely to pose a security risk (including large audiences)

Events at Macquarie University reflect on our overall image and reputation. It is very important that the highest possible level of professionalism is brought into planning and management of events across campus, and these protocol guidelines are designed to assist you managing events where the Vice-Chancellor, or Chancellor, distinguished guests or media are involved.

Events with the Vice-Chancellor or Chancellor

If you would like the Vice-Chancellor will be involved in your event as a host or a guest, you are required to forward a request to his office, in the form of an Event Brief Template. This template should include all information about your event that will assist the Vice-Chancellor in considering your request. Once the Vice-Chancellor is confirmed to participate in your event, the Senior Event Officer (Protocol) is available to support and advise you on the details protocol requirements relevant to your event.

Events with VIP guests

VIP categories are defined as (but not limited to):

If your event will involve VIPs, contact the Senior Event Officer (Protocol) in the Marketing Unit for advice related to guest lists, whom the invitation should come from, the existence of University partnerships you need to be aware of, and whether there are security issues that need to be taken into consideration.

Events likely to attract significant media/public interest, generate controversy or likely to pose a security risk (including large audiences)

If you suspect your event will fall into this category, speak to the Senior Event Officer (Protocol) in the Marketing Unit for advice related to all aspects that may need to be taken into consideration. The Protocol Officer will also be able to liaise on your behalf with relevant areas of the University that will need to be informed (such as the Media Services area of Marketing Unit, and the Office of Facilities Management).
